Camera-ready paper Submission Guideline for SCES 2020

1.    It must be ensured that the first author of the paper is a student; otherwise, the paper will not be considered for the conference.

2.    The camera-ready paper submission is open until June 15, 2020.

3.    The authors are requested to check the formatting of the paper prior to the final submission. Your final paper will be checked to verify the format and compliance with the comments of the reviewers. Please note that the similarity index of the final paper should not be above 20%. It will also be checked for plagiarism before submission to IEEE Xplore. In case, a paper fails to comply with the conference requirement, it may be rejected at any stage.

The steps to finalize the camera-ready version of your paper are as follows:

Final Manuscript Instructions

Step 1: Final Paper Preparation

1.    You are requested to revise your manuscript carefully as per the comments of the reviewers and do thorough proofreading of the manuscript.

2.    Authors need to check their names, affiliations, postal addresses, and email addresses in the paper.

3.    Your final paper has to be in the IEEE double-column format strictly, should not exceed maximum of six pages. Please refer to the paper template available on the conference website.

Before Creating a PDF you must:

  • Add the following Copyright code notice to the bottom left corner of the first page of your source document (MS Word or LaTeX): 978-1-7281-9339-7/20/$31.00 ©2020 IEEE

The copyright notice should appear about 1 cm below the left column of the first page of your paper and should be aligned to the left with the same left margin as the column.

  • Add the Title of the Conference (Exactly as shown below in Times New Roman, font size 8, bold) on the first page of your manuscript

Step 2: IEEE Xplore Compatibility of PDF File

Only the PDF version generated from the IEEE PDF eXpress will be accepted at the conference. Therefore, you need to use the IEEE PDF eXpress service http://www.pdf-express.org/ to generate the PDF version of your final paper.

Please enter the Conference ID 50439X and create your login, if you are a new user. After login, click on “Create New Title”, Enter your title, then click “Submit File for Checking or Converting”. On the next page, browse and “Choose the file”, then click on “Upload File”. Then, click on “Continue”. After a few minutes, the generated PDF file will be sent to your email and you can also download it from the “Home- Title Status” page of the PDF eXpress website.

It may be noted that submitting a paper to IEEE PDF eXpress is only for generating an IEEE compatible PDF version for your paper.

Step 4: Electronic IEEE Copyright Submission

You need to complete and sign the electronic Copyright form (eCF) by entering/verifying the details during copyright form submission. The required details shall be communicated to you in 2-3 days.

An e-mail will be sent to one of the corresponding authors of accepted papers which will provide the authors a link to the online eCF wizard, as well as a unique login name and password to access their own copyright forms. When an author completes the online copyright transfer process and submits the form, he/she will receive an automated confirmation email letting him/her know that the transfer has been completed successfully. A copy of the copyright form needs to be sent during along with camera-ready submission as mentioned in Step-1.

Note: Transferring copyright is a necessary requirement for publishing your paper in IEEE Xplore.

·         Please check registration fee details at the conference website. The authors are requested to pay the registration fee of their applicable category. Then, please fill the registration form at <https://forms.gle/mA5LpcTirdecgKus9> in order to participate in the SCES-2020. The registration is open until June 20, 2020. However, authors of the papers have to send the registration fee payment details as mentioned in the Step-1 by June 15, 2020. Please visit the registration page at the conference website <http://www.mnnit.ac.in/sces2020/Registration.php>.

·         Please note that at least one registration among the authors of each paper is necessary for the conference. Multiple authors can also register for the same paper but each author has to pay the registration fee of their category separately. The certificate will only be given to registered authors.

·         No late registration is allowed for authors of the accepted papers.

Step 3: Camera Ready Submission

In summary, your Camera-ready paper submission consists of the following six documents in a zipped folder:

a)    Final paper in IEEE double-column format generated from IEEE PDF eXpress after adding copyright code and header

b)    Final paper with IEEE double-column in MS Word DOC format after adding copyright code and header

c)    A response in tabular form for reviewers’ comments in DOC/PDF format

d)    PDF/Proof of IEEE Copyright Form

e)    Scanned copy of the online payment receipt for the paid Registration fee.

f)     Scanned copy of the student ID card of the first author

The zipped folder shall be sent by one of the authors with the subject of email written as SCES2020_Paper ID_Number and zipped folder named as SCES2020_ Paper_ID_Number. If a paper id is 145, then subject of the email shall be SCES2020_Paper ID_145 and the zipped folder name shall be SCES2020_Paper ID_145. You need to send your zipped folder to the SCES-2020 conference Email ID <sces.mnnit@gmail.com> as mentioned above.

All submissions files must have no password protection on the PDF file, and all fonts must be embedded. You are requested to rename the above files on similar pattern such as SCES2020_Paper ID_145_Final paper, SCES2020_Paper ID_145_Response to the comments, SCES2020_Paper ID_145_Copyright, SCES2020_Paper ID_145_Payment receipt, SCES2020_Paper ID_145_Student ID as per your SCES paper id.

Step 6: Paper Presentation

The authors of registered papers have to present their paper online during the conference on July 10-12, 2020 (similar to the face to face conference), and interact with other authors/speakers/guests during the conference. The technical program schedule will be updated on the conference website soon. We will try our best to make it a true virtual environment making options for networking parallel to technical sessions.

In addition to the camera-ready final version of the paper and other documents, for smooth/uninterrupted operation the Full Virtual (online) conference, we need your video presentation (MP4 format, maximum size 100 MB)  of your PowerPoint slides with your voice narration. We humbly request you to upload this presentation by June 25 2020 at <https://forms.gle/Sd1BRoBSvbZRRJts9>. This file will be pre-screened by the TPC and we expect your cooperation in finalizing the presentation slides.

On the day of the presentation, you need to be present in your session and depending on the connectivity; mode of presentation will be finalized. We hope you understand the necessity of pre-loaded presentation in such a huge traffic condition. However, after the presentation, you are expected to answer the questions made by the Session Chairs and other participants. More detailed guidelines about the final presentation and joining the conference sessions will be updated on the conference website.
